TITLE: Executive Assistant

JOB SUMMARY: To contribute to the climate of service excellence at WTCI by providing effective and efficient office support to the president and CEO of WTCI

MINIMUM QUALIFICATIONS:

• Computer literate and proficient in Microsoft Office Suite with experience in interoffice project or team management tools

• Excellent writing, verbal and problem-solving skills

• Knowledge of principles and practices of organization, planning, records management and general administration

• Ability to operate standard office equipment, including but not limited to computers, telephone systems, calculators, copiers and fax machines

• Ability to follow verbal and written instructions

• Ability to work independently and as part of a team

ROLE SPECIFIC CORE COMPETENCIES:

• Provides effective and efficient executive level administrative and secretarial assistance to the president and CEO with occasional assistance to other employees

• Composes letters and email communications

• Plans and organizes board and staff meetings as well as reoccurring special events

• Coordinates and prepares materials and takes minutes for meetings including Board of Directors, Community Advisory Board and committee meetings, updating minutes and board books and other station records

• Schedules appointments and maintains calendar

• Responds to incoming telephone calls and emails for the president and CEO

• Maintains administrative files, both electronic and paper, and handles routine correspondence and letters

• Prepares purchase orders for department when necessary in accordance with the policies of the business office

• Assists with the maintenance of the station’s public files

• Assists with travel arrangements, as needed, for the president and CEO and all staff

• Maintains excellent internal and external communications, both verbally and written

• Arrives at work station, ready for work, at the specified time; available for overtime work on occasion

• Adheres to the safety and security policies of the station

• Maintains confidentiality in all aspects of client, staff and company information

• Performs any other duties of an incidental nature, such as switchboard/reception relief, as assigned

• All other duties as assigned by the president & CEO
