Position Description: Office and Administrative Coordinator

the organization to empower and engage Chattanooga’s Latino population. La Paz

The Office and Administrative Coordinator reports to the Executive Director and
performs a broad variety of critical support and administrative tasks for the
organization, frequently in a confidential manner. This position is responsible for the
overall administrative support for the organization.

Key Responsibilities


  • Perform basic bookkeeping tasks including bill paying, mailing checks, making deposits, invoicing, and financial tracking.
  • Purchase office supplies and keep storage room stocked and organized
  • Prepare for Board of Directors meetings by printing agendas, minutes, etc.
  • Maintain organizational files and documents
  • Coordinate insurance coverage and time off schedules for staff and the organization
  • Donor database data entry
  • Perform general administrative support
  • Assists with coordination of events, workshops and classes
  • Coordinate website updates to include calendar of events
  • Assist with donor communications, including appeal and thank you letters
  • Coordinate bulk mailings
  • Maintain organizational archives
  • Take on additional tasks as directed by the Executive and organization Directors Qualifications
  • Applicant must be highly organized, self-motivated, professional, and able to manage details
  • Excellent interpersonal skills
  • Previous executive-level administration experience preferred
  • Excellent attention to detail, strong organizational skills, and the ability to work independently
  • High proficiency in Microsoft Office software including Word, Excel, PowerPoint
  • Excellent written and verbal communication skills
  • Proficiency in CRM software highly desired
  • Ability to establish and maintain positive working relationships with others both internally and externally to achieve the goals of the organization
  • Bilingual a plus

Position Interest

This a 20 hour per week position, Monday through Friday during daytime hours. There
is some flexibility in scheduling. This position could possibly increase to full time within
the year.
