Office Manager/Administrative Assistant - ArtsBuild

Title:   Office Manager/Administrative Assistant

Reports to:  Director of Grants and Initiatives

Job Summary:  Manages all office/building needs, provides general administrative support, and serves as receptionist for visitors and phone inquiries.

Key responsibility areas:

  • Office Management
    • Serve as primary contact for all items related to office cleaning building maintenance
    • Maintain schedule for meetings in conference rooms
    • Order office/kitchen supplies as needed
    • Supervise maintenance of office equipment
  • Administrative support
    • Assist Director of Grants with workshop/event management
    • Open and distribute mail
    • Maintain events calendar for weekly newsletter
    • Take board meeting minutes
    • Prepare correspondence and other documents
    • Other administrative duties as assigned
  • Receptionist
    • Stay current on phone system operation and serve as resource for other staff
    • Greet and direct visitors in a pleasant, professional manner

Job Qualifications

  • High School Degree required, Associates Degree preferred
  • Proficiency in Microsoft Office Suite
  • Attention to detail
  • Excellent verbal and written communication skills
  • Effective organization skills
  • Ability to work both independently and as part of a team
  • Professional appearance and attitude
  • Related work experience
  • Knowledge of local arts community and/or related arts experience not required, but a plus
